Project Management and Meetings. The purpose of this task is to effectively manage the above tasks, and maintain communication with City staff. ICF project management will be responsible for coordination activities, will maintain QA/QC requirements for document preparation, and will monitor schedule and performance for all EIR work tasks. Project management subtasks also include maintaining internal communications among ICF staff and subconsultants and with City staff and other team members through emails and frequent phone contact, as well as the preparation of all correspondence. The Project Manager will coordinate internal staff, project guidance, and analysis criteria. Contracting with the City and subconsultants will be performed at the onset of the Project. Team members will attend and participate in meetings on an as-needed basis. For purposes of the cost estimate, ICF has assumed three City staff and/or Project Sponsor face-to-face meetings (in addition to the Project Initiation meeting described in Task 1), up to three public meetings (described in Task 13), and 10 phone conference calls. Additional meetings may be appropriate during the course of this effort, and will be invoiced on a time-and-materials basis.
Project Management and Meetings. West Xxxx will provide overall project management activities to keep this project on schedule and within budget. The day-to-day management activities will include work coordination, communicating project progress to the City, and project invoicing. Budgeting includes the following meetings during the project: • Initial kick-off meeting to discuss the goals and objectives of the analysis. This meeting is assumed to be face-to-face, unless shelter-in-place orders are still in effect, in which case it will be conducted as an online meeting. • A conference call meeting to present preliminary results of the hydraulic evaluation to receive input from the City and the developers • A conference call meeting to review comments on the draft technical memorandum Task 5 Deliverables: Meeting handouts, meeting notes memorializing decisions, project invoices and project reports.
Project Management and Meetings. As the City has experienced on past Wood Xxxxxxx projects, our team included in this proposal will be the team that will be on this Project. Our managers are hands‐on and very accessible to provide seamless project management and presentations of the highest quality. We look forward to hosting bi‐weekly progress conference calls and will provide interim email and written correspondence to keep the City staff up to date throughout the Project. We are set up with Skype for Business at all of our work stations, so we have the ability to connect instantly and share our computer screens with our clients to help facilitate remote meetings. For face‐to‐face meetings to discuss pertinent issues with operations staff and to give opportunities for City feedback and input, we are located just 25 miles from the City’s office. Wood Xxxxxxx will schedule and conduct review meetings of all deliverables for the Project. We will prepare agendas in advance of the meetings, chair the meetings, provide meeting minutes/action items, and create an attendance list with complete contact information. Wood Xxxxxxx will also provide two presentations to the City Council as needed. It is anticipated that the first presentation will outline the findings of the test well and our recommendations. Other topics are yet to be determined. Our draft PowerPoint presentations will be submitted to the City staff for review and comment at least two weeks prior to all Council meetings. Our final version will incorporate the City’s input at least three working days before the meeting. Project Management and Meetings. This task includes project management related tasks and meetings to consist of preparation of invoices, budget oversight, adherence to project scheduling, and general project coordination. Xxxxxx-Xxxx will coordinate with the City of Walnut Creek to finalize the project requirements and project schedule. Xxxxxx-Xxxx will utilize the following data to be provided by the City: • Signal timing sheets in Excel Format • GPS Zone settings • Channel settings for each TSP approach • Existing signal timing models Xxxxxx-Xxxx will attend up to three (3) virtual meetings to review project deliverables and to discuss other project items.

Attachment A, Geographic Data Contract Deliverables Guidelines, contains a complete description of all for all data and file requirements related geographic data. • All PDFs are to be high resolution and capable of enlargement • All data collected and formatted in either a .dbf, or .xlsx file format • All reports and data will be submitted as administrative drafts to MCOSD. As appropriate, the consultant will incorporate comments into the final drafts of these documents • All digital documents must comply with Section 508 of the Rehabilitation Act and follow stringent County style and format guidelines. Project Management and Meetings. BKF, shall provide project management for each task for the duration of the Project. Management activities shall consist of administration, coordination, meeting facilitation and quality control and as stated in the following:
Project Management and Meetings. As part of Task 1, Geosyntec will conduct project management, coordination, and meetings. A kick-off meeting will be scheduled to initiate the project; discuss project scope and objectives; determine preferred client meeting frequency, format, and content; and present a detailed project schedule. Geosyntec will develop monthly progress reports using the C/CAG’s preferred format or will create a format for approval by C/CAG. It is expected that the progress reports will summarize work completed for the month; progress with respect to deliverable completion, budget, and schedule; project challenges and proposed resolution; the overall project schedule, and quality assurance/quality control (QA/QC) activities. Geosyntec will maintain a detailed project schedule which will include key project activities by participating entity, including scheduled material review and other milestones. The schedule will be updated monthly and provided as an attachment to the monthly project progress reports. Geosyntec will conduct monthly invoicing using the invoicing format requested by C/CAG. The monthly invoice will be provided with the monthly progress report. Geosyntec will coordinate with Craftwater Engineering (Craftwater). Geosyntec will develop email agendas for and facilitate twelve (12) project management meetings with C/CAG project managers, up to 1-hour each, as part of Task 1 and will provide e- mail summaries following the meetings. These meetings will be used to discuss progress and outcomes for all other project tasks. Geosyntec will also facilitate up to eight hours of meetings with the C/CAG member agencies, committees, or Board of Directors under Task 1, including providing agendas and draft and final meeting notes.
