Scheduling of Vacation Leave. Vacations shall be scheduled on a first-come first-serve basis. Such time off shall be prior authorized in writing on the authorized Agency form and shall be mutually agreeable to the immediate supervisor and the employee consistent with the operating needs of the Agency.
Scheduling of Vacation Leave. In scheduling vacations, the Library Director or the Library Program Area Chair, as may be appropriate, and the Vice President shall endeavor to permit the taking of vacation at the times requested by each librarian, subject, however, to the maintenance of librarian services which are required at the University. The Library Director or the Library Program Area Chair, as may be appropriate, shall ensure that the vacation leave is scheduled during the year succeeding the year of its accrual in order that the librarian may not lose vacation leave. In no event shall vacation leave be accumulated in excess of three hundred seventy-five (375) hours (the equivalent of fifty (50) days) without the prior written, mutual agreement of the librarian and the Vice President. Notwithstanding the above, librarians with accrued vacation credits above the three hundred seventy-five (375) hour limit as of the date of execution of this Agreement shall have until July 1, 2019 to reduce their accrued vacation leave credits to three hundred seventy-five (375) or fewer hours. If a librarian requests vacation leave at least thirty (30) days in advance and the supervisor has not replied in a timely manner or denies the use of vacation leave, and such denial would result in the forfeiture of vacation credits, the librarian may appeal within three (3) business days to the Vice President. The Vice President shall review the request with the Library Director or Library Program Area Chair, as applicable, and the President, when necessary. The Vice President or the President shall take one of the following actions regarding the request for vacation leave:  overturn the decision of the Library Director or Library Program Area chair,  offer an extension of time to use the vacation leave in order that the librarian can use the vacation leave without forfeiting it, or  pay the librarian the equivalent of the vacation leave that would be forfeited. Such payments cannot be regarded as creditable service or compensation for purposes of retirement. Librarian employed on the date of execution of this Agreement with accrued vacation credits greater than three hundred seventy-five (375) hours shall have until June 30, 2020 to reduce their accrued vacation leave credits to three hundred seventy-five (375) hours or fewer. Scheduling of Vacation Leave. (a) Employees are expected to take all their vacation leave during the vacation year in which it is earned.
Scheduling of Vacation Leave. At any time after the successful completion of six-months continuous employment, employees may request and use vacation leave of up to the number of hours accrued at the time of the desired vacation date subject to the approval of the Fire Chief or designee as defined in the Fire Department Procedure Manual. Seniority rights shall apply in scheduling vacation. Additionally, requests for approval of vacation schedules shall be made to the Fire Chief or his/her designee as stipulated in the Fire Department Procedure Manual. While vacation scheduling guidelines are established by the referenced procedure, the final approval discretion regarding specific vacation schedules rests with the Fire Chief or his/her designee. Payment for vacation leave may be made only to the extent of unused vacation accruals at the time of the leave.

In no event shall vacation leave be accumulated in excess of four hundred eighty (480) hours (the equivalent of sixty-four (64) days) without the prior mutual agreement of the librarian and the Vice President. If, without such agreement, any librarian accumulates vacation leave in excess of four hundred eighty (480) hours (the equivalent of sixty-four (64) days), all such excess shall thereupon be converted to sick leave.
Scheduling of Vacation Leave. Vacation leave shall normally be scheduled and taken during the vacation year in which it becomes available; provided, however, that a professional staff member may, at that professional staff member's discretion, carry over up to four hundred eighty (480) hours [sixty-four (64) vacation days] from year to year; provided further that in no event shall vacation credits in excess of four hundred eighty (480) hours [sixty-four (64) days] be carried over for more than one (1) year unless otherwise approved by the Employer. Unused vacation days in excess of four hundred eighty (480) hours [sixty-four (64) days] shall be converted to sick leave as of the accruals at the end of the last pay period in April and October of each year. Persons who are eligible for vacation under these rules, whose services are terminated by dismissal through no fault or delinquency of their own, by retirement, or by entrance into the armed forces, shall be paid an amount equal to the vacation allowance as earned but not granted in the vacation year prior to such dismissal, retirement, or entrance into the armed forces, and in addition that portion of the vacation allowance earned in the vacation year during which such dismissal, retirement, or entrance into the armed forces occurred, up to the time of separation; provided that no monetary or other allowance had already been made therefor. Vacation leave may be used in fractions of three and three-quarter (3.75) hours [one-half (1/2) day].

Effective July 1, 2019, an employee may carry over 375 hours ( 50 days) of vacation leave from year to year; provided further that in no event shall vacation leave amounts in excess of fifty (50) days be carried over for more than one (1) year. Notwithstanding the above, current employees with vacation leave amounts in excess of the fifty (50) days shall have until June 30, 2021 to lower their accrued vacation leave amounts to or below the fifty (50) day limit. The process by which this change in vacation leave maximum balances and accrual is effectuated shall be as follows: At the end of the last payroll period of June 2021, any employee who is carrying vacation leave credits of more than 375 hours (50 days) shall have any such accrued vacation leave credits converted to sick leave. After June 30, 2021, accrued vacation leave in excess of 375 hours (50 day) shall not be converted to sick leave and any accrued vacation credits above 375 hours (50 days) shall be forfeited at the end of the last payroll period in December of each year.
