Union Rights and Union Activities. The Union shall notify the Hospital, in writing, within thirty calendar days of the election or appointment of Shop Stewards. The Hospital shall provide the Union with all the necessary information relating to the following matters for employees within the Bargaining Unit on a current basis: a list of employees, showing their names, addresses and classifications, ranked according to seniority, twice per calendar year; job postings, job awards , promotions (including the name of all applicants for each position vacancy, as requested from time to time in writing by the Union), demotions and transfers; hirings, discharges, suspensions, written warnings, resignations, and retirements; job classifications, and job descriptions; information relating to salaries and fringe benefits including pension and welfare plans, as related to individual members of the bargaining unit as required. , Upon written request, an employee shall be given the opportunity to examine any document which is placed in his personnel file, including but not limited to, those documents which may be to substantiate a disciplinary action against him, and his reply to any such document shall also be placed in his personnel file.   • Time Off for Union Activities A. Conventions and Conferences Union-designated employees may be allowed time off without pay to attend union-sponsored conventions or conferences. Approval for the time off must be granted in advance of the absence and in accordance with the Employer’s leave policies. Approval will not be granted if the absence interferes with the Employer’s ability to provide coverage during the requested time off or the operating needs of the agency cannot be met.
