Room and Roommate Assignments. The university is committed to a policy of nondiscrimination. Those students wishing to share a room must create a roommate group as per the instructions detailed on the application. Roommate requests based on race, color, religion, age, national origin, national ancestry, sex, pregnancy, gender, gender identity or expression, sexual orientation, military service or veteran status, mental or physical disability, will not be considered. Xxxxxx State University will attempt to honor roommate requests, but does not guarantee that all requests will be honored. Only members of the same sex may share the same room, with the exception of specialized housing outlined by Residence Life & Housing. In the absence of a roommate request, the Residence Life & Housing staff will assign roommates without regard to their race, color, religion, age, national origin, national ancestry, sex, pregnancy, gender, gender identity or expression, sexual orientation, military service or veteran status, mental or physical disability. Room changes based on race, color, religion, age, national origin, national ancestry, sex, pregnancy, gender, gender identity or expression, sexual orientation, military service or veteran status, mental or physical disability will not be considered. Assignments are made upon receipt of full pre-payment, under 18 parental consent (if applicable) and according to completed housing application date. Continuing students participate in a reassignment process prior to new incoming students. Assignment to a residential community and/or a particular roommate is based on the residents’ preference(s), but is not guaranteed. Final decisions regarding room and roommate assignments are made by the Director of the Residence Life & Housing or their designee. The university reserves the right to assign residents in non-single accommodations without roommates to vacancies in other units. Vacant units are thus available to meet other short-term university needs. Except for consolidating vacancies, no changes of assignments are made during the first two weeks of fall semester, first week of spring semester or the last week of any semester. At other times, changes of assignment are made at the request of the occupants of each residence unit involved and with the approval of the residential community or assignment staff or to consolidate vacancies. HRE reserves the right to make room and roommate assignments as HRE deems necessary. Room assignments may be denied, reassigned or canceled by HRE at its discretion and at any time for reasons of health, safety, discipline, optimization of space or other reasons. Reassignment may include accommodations within the community such as the University Guest House or off-campus hotel. All room assignment changes must be approved in advance by HRE. HRL will exercise its reasonable efforts to honor Resident’s request with regard to preference of Room, roommate, and building but does not guarantee assignment to particular building, types of accommodation, specific Rooms or apartment, roommate, or single Room. HRL reserves the right to change or cancel assignments as it deems appropriate in the interest of order, health, safety, effective space utilization, to accommodate staffing and Room usage in the interest of HRL, unresolvable incompatibility of roommates, or discipline, with notice to the extent reasonably practicable under the circumstances. Resident agrees that failure to be assigned to Resident’s preferred assignment request does not release Resident from their obligations under this Agreement. Every attempt will be made to honor roommate requests, but they are not guaranteed. Where no roommate request is made, assignments are made at the discretion of the Director of Residential Life. Student requests to change rooms are honored only with prior and written approval from the Director of Residential Life. All parties involved in room changes must agree to the room change, including the remaining occupants in each room. All unapproved room changes are subject to a $100 flat fee, and possible disciplinary action. In the case that a vacancy occurs in a room, the student(s) who remain(s) agrees to pay for a private room, accept an assigned roommate, or move to another room. Where there is a vacant space, the room must be maintained by the occupant(s) in a manner that will allow another student to move in at very short notice. The University reserves the right to consolidate single occupants residing in multiple capacity residence units, assign applicants to available space, alter any assignments at any time in the case of administrative or disciplinary action, and deny the privilege of housing to any student who has demonstrated behavior which significantly disrupts the residential environment.
