Gather Information. The CSG IV&V team collects as much information as possible while minimizing the time we require from the project team. Our approach assures that the CSG IV&V team has insight into the planning and development processes, release planning and development timeframes, performance tracking, and team dynamics. The following activities are used to gather information during the Initial Assessment: ⮚ Review initial project artifacts and documents, including project plans and deliverables, for relevant requirements that form the parameters of project work. We analyze and assess processes, procedures, best practices, and adherence to accepted, contractually defined, or industry standards. To facilitate document reviews, the CSG IV&V team starts with a baseline set of checklists from our library and tailors them for each plan or deliverable based on industry standards, best practices, and contract requirements. The CSG IV&V team prioritizes the review of project management plans and project definitional documents to assess that all requirements are prioritized based on the needs and objectives of the Customer. The results of each of the reviews, along with recommendations, are included in the Initial Assessment Report. ⮚ Conduct interviews with the project team and other stakeholders to assess and understand processes and procedures planned for the project. Individual interviews provide multiple perspectives and offer an important method for validating the information being gathered to assess progress, threats, issues, and risks and for assessing scope, success, and alignment of business needs. ⮚ Observe and assess initial project activities to develop an understanding of project planning and processes; governance, risk and issue, change management, and decision-making processes; team member interactions; and to gain additional insight into project risks. We prepare for meetings by reviewing agendas and related documents.

The checklists are provided to project vendors in advance of the reviews. Developing and proactively sharing the checklists establishes expectations upfront about what the CSG IV&V team reviews for and assists the Customer and solution vendors in avoiding document gaps or re-work. This follows the “no surprises” approach to communication. ⮚ Conduct interviews with the project team and other stakeholders to assess and understand current processes and procedures used across the project as well as their adherence to approved project plans. Individual interviews provide multiple perspectives and offer an important method for validating the information being gathered to assess progress, threats, issues, and risks. ⮚ Observe and assess project activities to develop an understanding of project meetings and processes; issue, change control, and decision-making processes; team member interactions; project status; and to gain additional insight into project risks.
