GENERAL RENTAL INFORMATION. Texas Discovery Gardens is a public garden and a non-profit educational organization supported, in part, by the Dallas Park and Recreation Department. The venue is open to the public daily from 10 a.m. to 5 p.m. and may hold special events, festivals, or classes on weekends during operating hours. Texas Discovery Gardens is located in Fair Park, home to several concerts and special events throughout the year. Check the calendar at xxx.XxxxXxxx.xxx for details; be aware that festivals may be added at any time. Booking and Cancellation Initial Payment: A payment of 50% of the rental fee (non–refundable) plus the damage deposit for each venue (refundable 15 days after the event) is required to book your date at the initial booking meeting. Once the contract has been signed, no refunds will be given. 60 Days: The 50% balance of the rental fee is due at least 60 days prior to the event and can be paid in person, by mailing a check, or with a credit card on file. Parking Parking is free for Texas Discovery Gardens events. However, there may be another event at Fair Park that involves a parking charge, if so identify yourself at the entrance gate as an attendee of an event at Texas Discovery Gardens and you will be allowed through at no charge. Parking is shared in Fair Park and a certain area cannot be guaranteed. Valet is available and can be coordinated for an additional charge. Rental Equipment Delivery and Pickup Equipment rented from an outside vendor may only be delivered to Texas Discovery Gardens during contracted facility rental time and must be removed from the premises at the end of event clean up. Rental items may not be left in the building over the night/weekend. If your items are not removed due to your vendor’s failure to arrive before your rental period time ends, you will be assessed a fee of $300 and that amount will be deducted from the deposit. Texas Discovery Gardens will not be held liable for any damaged and/or stolen equipment. Setup/Decoration All candles must be enclosed in either a jar, votive or hurricane enclosure. Sparklers are prohibited. Biodegradable confetti is allowed outside at Texas Discovery Gardens, except seeds which are prohibited. All decorations must be free-standing; they may not be attached to floors, walls, doors, glass or ceiling. Electrical cords may be taped to the floor with masking/gaff tape. GENERAL RENTAL INFORMATION. The Xxxxxxxx Park District (APD) Riverside Park All Weather Fields are a synthetic turf athletic facility designed for year round play. The field is 165,000 sq. ft. of synthetic turf measuring 440 x 375 ft. with two full size fields lined for soccer and football including spectator bleachers. Marks will exist in places so that lacrosse may be lined using temporary paint by APD staff. Reservations for the All Weather Fields are taken by request form completion by the printed deadline (see Request Form) through the APD, 0000 Xxxxxxxxx Xxx., Xxxxxxxxxx, XX 00000; questions may be answered at xxx.XxxxxxxxXxxxx.xxx or by calling 513-474-0003 ext. 4512, Monday – Friday, 9:00 a.m. to 4:00 p.m. Telephone inquiries or submission of completed forms are not considered confirmed reservations. Rental times are Sunday through Saturday, 6:00 a.m. – 11:00 p.m.; exceptions must be approved by the Executive Director or their designee. Rental times must include ALL set-up, warm-up, and take-down/clean-up time. Insurance is required for all rentals. Please see page 7 for details. All necessary paperwork, including insurance and payment are due 60 days prior to your rental date. The APD reserves the right to require a surety bond and deposit for any/all events.

RESERVATION INFORMATION • Reservations must be made not less than two (2) weeks prior to rental date. • A CASH deposit is required to make a reservation. • Deposits are not transferrable. • All Rental Fees must be paid in full not less than five (5) business days prior to rental date. • No Refund will be given due to bad weather, but will be allowed to reschedule the rental. DEPOSIT REFUNDS will be given for cancellations or rescheduling as follows: • 100% - If Cancelled or Rescheduled five (5) business days or MORE prior to rental date. • 50% - If Cancelled or Rescheduled LESS than five (5) business days prior to rental date. • No Refund - If Cancelled or Rescheduled less than two (2) days prior to rental date.
