Project Site Meetings. Periodically the CM shall conduct meetings at the Project site with each Contractor and the CM shall conduct coordination meetings with all Contractors, the Owner and Designer.

The CM shall conduct weekly coordination meetings at the site with all Contractors at which the Owner, the Designer, other designated representatives, and the CM can discuss jointly such matters as progress, scheduling, and construction-related problems. All Contractors shall be represented at these coordination meetings by both home office and Project personnel, unless specifically excused by both the CM and the Owner. The CM shall require attendance from other subcontractors and material suppliers who can contribute toward maintaining required job progress. It shall be the principal purpose of these meetings to effect coordination, cooperation and assistance in every practical way toward the end of maintaining progress of the Project on schedule and to complete the Project within the specified contract time. The CM shall be prepared to assess progress of the Work and to recommend remedial measures for correction of progress as may be appropriate. The CM, with assistance from the Designer, shall be the coordinator of the conferences and shall lead the meeting. The CM shall take and distribute complete minutes of meetings to all attendees and others as directed by the Owner within three (3) days of such meetings. Representatives of the Owner may attend any or all meetings and shall in any case receive all notices and minutes of meetings. As set forth in the Master Schedule and the Contract Documents, the CM shall also conduct pre-installation and pre-construction meetings for key components of the Work. The CM shall conduct a separate monthly meeting with the Owner and the Designer to update them on progress of the Work.

At the start of construction, then quarterly thereafter, Consultant will facilitate and participate in partnering meetings with the City and Construction Contractor.

Consultant shall conduct weekly coordination meetings at the Project site with the Construction Contractor, the Town’s designated representative and the A/E (if provided for in the Agreement between the Town and the A/E) and/or other stakeholders as needed. Consultant’s site visit shall involve ODOT Bridge Maintenance, ODOT Bridge Design and ODOT Construction staff. Consultant shall include dates and brief documentation of the site visit in the monthly status report. Deliverables/Schedule: Consultant shall provide: • Agenda preparation, attendance and participation at the meeting as requested by the Agency; • Draft summary notes (including action item / decision log) within five (5) business days of meeting (1 electronic copy)
