Client Implementation and Integration. 1.6.1 The Contracting Body requires the Supplier to provide a full and comprehensive implementation project plan to include a risks and issues log which is agreed with the Contracting Body. The Supplier will be measured against delivery of the agreed plan. Project Plan Scope Our project plan scope includes: • Project team set-up • Project control • Risk and impact analysisData gathering • Set-up/configuration • Recruitment/staffing • Testing systems/processes • Marketing/communication • Training/workshops/roadshows Implementation Plan We enclose Implementation Plans, Risks and Mitigation Log and Communications Proposal as appendix 2. As standard, an HRG Online pilot is included for each implementation – the pilot phase starts from the ‘go live’ date. Impact and Risk Mitigation We establish a Risk and Mitigation Log immediately and report to all stakeholders at an agreed frequency i.e. monthly. The Log works continuously during the implementation process until successful post-implementation review and sign-off; the Log tracks and manages all known/potential risks, and quantifies probability, consequences and required solutions. We identify the risk or uncertainty, then capture and categorise (high/medium/low) as follows: • Likelihood • Impact Using a sliding scale (1-3), the ‘risk factor’ is identified as likelihood x impact. Based on this outcome we implement the actions required and identify who takes responsibility to manage the risk. Issues captured include: • Contracting Body technology and security requirementsTUPE regulations • Profiles completion High level risks/issues will be flagged outside this process. System Testing Prior to testing, we create a test plan, and integrate it into the Risks and Mitigation Log. System testing includes: • End-to-end bookings • Ticket fulfilment • Final invoicing • Telephony/email systems Any concerns are captured in the Log and escalated; the escalation process engages subject matter experts who ensure successful resolution through a re-testing process prior to sign-off. Communications Plan A comprehensive pre and post implementation Communications proposal will be delivered for each implementation. The proposal will engage all stakeholders working alongside our dedicated Government Implementation Team. The proposal is based around: • Awareness • Understanding • Support • Ongoing feedback
