Right to Access Official Employment File. Employees shall be allowed to view their employment file by visiting the Human Resources Department. An employee may designate in writing a representative of their choosing to view the file. If, due to operational needs, viewing the file is not possible, then the employee and Human Resources shall set a mutually agreed upon time. Employees or their designees shall receive a scan or photocopy of their official file at their request at no charge within three (3) business days of the request, provided the employee or designee receives the scan or photocopy at least twenty four (24) hours prior to a Xxxxxx Hearing, grievance meeting, or any other meeting that could lead to disciplinary action. The employment file shall not be altered in any way in the period of time between the request and the employee’s or designee’s receipt of the file.
