RESPONSIBILITY OF THE HIRER The Hirer shall be responsible during the period of hire for: – Being familiar with, and complying with, the guides provided for the use of the Premises Ensuring that the Premises are kept secure for the duration of the hire Supervision of the use of the Premises and the care of its fabric and contents Ensuring that the purpose and conduct of the hire does not disrupt the use of any other room hired by other persons Ensuring that the Premises including public areas are left clean and tidy with rubbish removed from the rented space at the end of the hire. If we are required to undertake a deep clean of the rented space after your booking, you accept you will be held liable for the full amount incurred in doing so and will be invoiced for any work undertaken in respect of such cleaning. Ensuring that all equipment, chairs and tables have been returned to their original positions safely, the Premises are cleared of people, all lights switched off, and the rented space secured. Ensuring that any temporary fittings and fixtures comply with Health and Safety guidance, and in particular ensuring that any decorations used are not a fire hazard. Ensuring that any equipment or electrical appliances brought onto the Premises and used there shall be certified safe (XXX Tested) and in good working order and used in a safe manner. Ensuring that no animals (including birds), except assist dogs are brought into the building, without written permission of the management on the occasion of a special event or hire agreed to by the management FIRE REGULATIONS The Hirer shall: Ensure that the “Emergency Exit” signs are kept illuminated and not obscured. Ensure that the Fire Brigade is called to any outbreak of fire, however slight, and details given to the management. Prior to the start of an event indicate the fire exits and Evacuation Meeting Place to the persons attending the event. The Evacuation Meeting Place is outside the rear gates for the back of the building and on the pavement to the front of the building No person may re-enter the building without the permission of the Fire Brigade.

Outside smoking must be accessed via the Xxxxx Room Fire Doors, and the adjacent area used for this purpose. The front entrance must not be used for this purpose to comply with the terms of our licence. Noise: Ensure that the Fire Brigade noise levels are maintained within environmental health guidelines, i.e. noise shall not emanate from the premises such as to cause people in the neighbourhood to be unreasonably disturbed. Noise level shall not exceed above the permitted lever of 96 decibels. Additionally, music of any kind is called prohibited after 10.30pm unless a license is requested from the Management Committee in advanced. The Hirer is responsible to ensure any outbreak of fire, however slight, music or entertainment provided by a second party also signs and details given agrees to the managementthese restrictions. Conditions of Hire. Agreements The INFLATABLES/EQUIPMENT rented, always remain the exclusive property of Totem. The person renting the INFLATABLES/EQUIPMENT shall not at any time alienate, hire out, lend or in any other way deal with Age Connects Morgannwg the INFLATABLES. Please ensure that the INFLATABLE/EQUIPMENT is collected AND returned on time (or a person present to receive and it is deflated and balls bagged (3-in-1 only) 15 minutes prior to collection if delivered by us) otherwise the “on time” fee will be forfeited. Despite the forfeiture, Totem also reserves the right to charge an extra day’s rental if the inflatable is returned later than the agreed time. An overnight fee of R150.00 per inflatable is payable should the hirer wish to have it collected/returned the following morning provided that it is not being hired by another hirer. The INFLATABLE is to be positioned on a flat surface, free of any foreign objects (including dog poo) that could damage it. The latter applies especially to the Gladiator slide, double water slide and Gladiator obstacle to prevent injuries. A ground sheet must be used if placed on any surface other than grass. No FOOTWEAR, FOOD (including sweets and chips), COLD DRINKS, streamers (also can variety), face paint, SHARP OBJECTS OR ANIMALS (especially dogs) are to be allowed on or near the INFLATABLES. To prevent damage to the castle children should not be allowed to hang on the uprights or horizontals except on the Gladiator Obstacle. No CHILDREN ARE ALLOWED TO PLAY WITH OR NEAR THE MOTOR. THE MOTOR MUST NOT BE LEFT OUT IN THE RAIN WHILST OUT ON HIRE. Any damage incurred to the INFLATABLES/EQUIPMENT whilst in possession of The Hirer will be payable by The Hirer. The Hirer accepts that the equipment will only be inspected the day after return at which time damage and liability would be ascertained. Totem do not accept any responsibility for loss, damage or injury to any person/s or property whatsoever. Tent pegs are provided for the hire of space at Cynon Linc or any part thereof (“smaller inflatables and the Premises”) are subject to these Terms and Conditions of Hire (“hirer must ensure that the Hire Conditions”). SUPERVISION BY THE HIRER The Hirer undertakes facility to be present, or arrange provide programs/activities for sufficient adult representatives to be present, throughout people under the hiring to ensure compliance with the provisions and stipulations contained or referred to in these Hire Conditions and any relevant licenses. RESPONSIBILITY OF THE HIRER The Hirer shall be responsible during the period age of hire for: – Being familiar with, and complying with18 years, the guides provided hirer shall provide sufficient and competent adult supervision at all times and is responsible for all participants’ behaviour. • Ensure the facility is left in a clean and tidy condition. All rubbish generated from the use of the Premises Ensuring that Pavilion is to be removed by the Premises hirer. Hirers will be on-charged the cleaning costs if the pavilion is not cleaned after use. • It is essential to report (as soon as possible) any damage and/or vandalism to the pavilion. Cleaning and Amenities Requirements It is the responsibility of the hirer to ensure the facility is left in a clean and tidy state. Failure to do so may result in additional cleaning charges and/or suspension of future use of our facilities. Duties include • Dispose of all rubbish in the provided bins. If rubbish exceeds the supplied bin, the hirers must remove excess from the premises. • All surfaces, including tables, chairs, and sinks are kept secure to be wiped clean. • Vacuum and mop the kitchen floors. • Stack all chairs and tables in the specified storage area. • Toilets and foyer spaces are to be left in a clean and tidy state. Hirers are required to bring their own cleaning equipment e.g. garbage bags, sponges, surface sprays, tea towels, broom, vacuum, mop. Public Liability Insurance All hirers must provide evidence on request of public liability insurance for a minimum of $10 million. • If the duration hirer does not have their own public liability insurance further information may be obtained by contacting their own insurance advisor and/or Local Community Insurance Services on 1300 853 800 or Local Community Insurance • Dependant on the type or size of the hirer, Council may at its sole discretion require the hirer to: o Provide a satisfactory risk management plan o Traffic management plan o Security plan o Any other information it believes is relevant to the hire of the space. Failure to provide the required information, may result in the booking being cancelled. Bookings • All space allocated to regular hirers is until 31 December each year. • Hirers who wish to continue their regular booking using the Community Pavilion will need to submit an Expression of Interest for each year. • Allocation of space for any one regular program will not exceed eight hours in any given week per allocated space unless prior approval is granted by Council. • Allocations of the Waterview Community Pavilion will be informed by gender equity and inclusivity policies and principles. • Applications for additional hours must be submitted in writing to the Sports Coordination team. • The Sports Coordination Team will review and approve all applications on an case by case basis. The signatory of the hire Supervision of agreement must be the person responsible for supervising the use of the Premises facility. Hirers will receive confirmation of requested booking, once it has been received and the care of its fabric and contents Ensuring that the purpose and conduct reviewed. Paper copies of the hire does not disrupt booking request form can also be completed and are located at Council’s offices: Westfield Plenty Valley City of Whittlesea Xxxxx 0, Xxxx XX0 000 XxXxxxxx Xxxx MILL PARK VI C 3083 Cancellation of bookings Casual Hire Individuals or groups must provide a minimum of seven days’ notice in writing prior to the use booking to avoid forfeit of any other room hired by other persons Ensuring that the Premises including public areas are left clean and tidy with rubbish removed from the rented space at the end of the hirefees. If we Regular Hire Regular hirers are required to undertake provide a deep clean minimum of 48 hours’ notice in writing with a maximum of six cancellations per calendar year free of charge. If 48 hours written notice is not provided, the fees and/or bond will be forfeited. Availability Bookings are available: Monday: 1.00pm until 3.00pm Tuesday-Thursday: 9am until 3.00pm Friday: 9am until 1.00pm Casual Hire Functions are required to end 30 minutes before the above times to allow for set-down and cleaning. All equipment must be turned off and guests vacated from the premises. Regular Hire Patrons and hirers attending regular bookings are required to vacate the premises no later than the above stated times. Hire Fees Casual Hire Casual hire fees are due and payable within 14 days from the date of the rented space after your booking, you accept you will be held liable for the full amount incurred in doing so and will be booking request. Regular Hire Regular hire fees are invoiced for any work undertaken in respect of such cleaningon a monthly basis. Ensuring that all equipment, chairs and tables have been returned to their original positions safely, the Premises Invoices are cleared of people, all lights switched off, and the rented space secured. Ensuring that any temporary fittings and fixtures comply with Health and Safety guidance, and in particular ensuring that any decorations used are not a fire hazard. Ensuring that any equipment or electrical appliances brought onto the Premises and used there shall be certified safe (XXX Tested) and in good working order and used in a safe manner. Ensuring that no animals (including birds), except assist dogs are brought into the building, without written permission payable within four weeks of the management on the occasion of a special event or hire agreed to by the management FIRE REGULATIONS The Hirer shall: Ensure that the “Emergency Exit” signs are kept illuminated and not obscured. Ensure that the Fire Brigade is called to any outbreak of fire, however slight, and details given to the management. Prior to the start of an event indicate the fire exits and Evacuation Meeting Place to the persons attending the event. The Evacuation Meeting Place is outside the rear gates for the back of the building and on the pavement to the front of the building No person may re-enter the building without the permission of the Fire Brigadeinvoice date.
