EVENT DETAILS. Please review the detailed information outlined above and on any subsequent banquet event order(s) to assure that this accurately reflects the event’s requirements. The Venue reserves the right to adjust space(s) based on space utilization and availability. Every effort will be made to notify the Client in advance and to accommodate the Client in alternate location(s). After signing the initial Agreement, anytime there is a change to an event, the Client must sign and return the banquet event order(s) to the Venue to confirm all final arrangements and pricing. The details on the final banquet event order(s) will be used to invoice the Client. Prices are typically evaluated annually and any changes to rates generally go into effect July 1st of each year. If applicable, the Client will be sent an updated banquet event order(s) with updated pricing. The Client must sign and return the updated banquet event order(s) to continue to hold their reservation. The Client needs to provide preliminary details of their event needs (i.e. room layout, guest count, catering menus, equipment needs, and/or any special needs) no later than 15 business days prior to the event. Major events, as defined by the Venue, and all conferences must provide preliminary details 30 business days prior to the event. Final details must be provided five business days prior to the event. The Venue will do its best to accommodate requests made less than five business days prior to the event but under some circumstances may not be able to fulfill the Client’s request and will notify the Client if the request cannot be accommodated. The following guidelines apply to all RSO events: • RSOs can reserve rooms for the fall semester beginning on the first Monday of August and for the spring semester, beginning on the first Monday of December. To reserve rooms earlier than these dates, the Client must contact their event planner to start the exception process. • For weekly or monthly meetings, RSOs can book one room one day per week for no longer than two hours. Meetings cannot be scheduled in the Founders Suite. • For dance practices, RSOs can book one room up to two days per week for no longer than two hours. RSO meetings and dance practices cannot be booked back to back. Dance practices cannot be scheduled in the Founders Suite or The Atrium. • To reserve the entire Xxxxx Ballroom for an event on Friday or Saturday night, a minimum guarantee of 500 guests is required. • Reservations are made on a first-come, first-served basis. • Late Night Events (LNE) are considered any event on Friday or Saturday evenings starting at 11:30 p.m. or later in the Bone Student Center and must conclude by 2:30 a.m. Clients must follow the LNE Guidelines and must submit a LNE form to the Event Services and Catering Office no later than 45 days prior to the event date that is being requested. All LNE must be approved by the Event Review Committee and the Client must agree to any additional requirements and costs based on an updated and approved Event Review Committee requirements before the reservation is confirmed.
