The WEB BASED ORDERING SYSTEM clause establishes the requirement for orders to be placed and managed through an online platform. Typically, this clause outlines the procedures for accessing the system, submitting orders, and receiving confirmations, and may specify technical requirements or user responsibilities. Its core function is to streamline the ordering process, reduce errors, and provide a clear, efficient method for both parties to track and manage orders electronically.
WEB BASED ORDERING SYSTEM. Information required in the Price Guides shall also be included on the web based ordering system. The web based ordering system shall allow Authorized Users to perform ordering, reporting, tracking, and promotions in a fully secure, real-time system by using the Internet. Web based ordering systems shall acknowledge receipt of a customer’s order, allow multiple users at once and allow customer’s access to customer’s order history. The Contractor must provide software at no charge, if needed by an Authorized User to use the Contractor's web based ordering system. The system shall be capable of designating certain items as available for purchase only with prior authorization as designated by Authorized Users. The system must be capable of processing, controlling, documenting, and reporting on at least the following data elements: Product name; Product Number Quantity Ordered Delivered Price Extended Total Order Total Contractor Name and Address; Agency/Facility/Political Subdivision, etc.; Contract Number; Purchase Order/Requisition Numbers; and Contact (individual placing order). Contractor shall have a designated website for Authorized Users' direct access of NYS Price Guides with the ability to download a copy for offline use. The website will be the responsibility of the Contractor to maintain and keep updated. Hard copy Price Guides, either in paper format or electronic format, must be available to all Authorized Users upon request.
WEB BASED ORDERING SYSTEM. Contractor shall make available a web based ordering system at no cost to Purchasers. Contractor shall provide Purchasers with instructions, training, customer service, and maintenance and repairs as necessary and free of charge. The web based ordering system shall meet the minimum requirements as set forth in Exhibit B – Requirements.
WEB BASED ORDERING SYSTEM. Contractor agrees to provide a designated NYS Contract website for Authorized Users to access the web-based ordering system required herein. This website link will be listed under the Contractor information on the OGS website. The Contractor’s website will be the responsibility of the Contractor to maintain and keep updated. The website must be operational within 10 business days of Contract execution. The State reserves the right to require changes to the website to meet the terms and conditions herein.
