SUPERVISION EXERCISED. This employee may have the responsibility for administering a complete scanning operation, including supervision of scanning procedures and clerical duties. He / she has decision-making responsibilities, and may teach and supervise employees in his / her line of expertise. Primary Responsibilities: Knowledge of operation and maintenance of all machines in the scanning and copy department, capable of making minor adjustments; Prepares all documents for scanning, determines legibility, makes sure all deeds have transfer tax yes or no stamps, end of document stamps, and are scanning correct image to the correct document number listed on their screen, and they are responsible for archival preservation; Scans all recorded documents after analysis for conformance with Maine Statutory requirements; Responsible for scanning all pages accurately in any give recorded document; Proofread processed scanned documents for quality and accuracy; Ability to cross reference data into the computer in the indexing phase; Considerable knowledge of clerical procedures and practices, prepare replies to correspondence and inquiries pertaining to subject area, ability to communicate effectively both orally and in writing; Answer phone, take accurate copy or place orders, answer general information questions; Assist general public in use of Registry of Deeds facilities, i.e., indexes, computers, maps, etc., as well as assisting with research questions; Received cash and properly enter into computer, ability to make accurate mathematical calculations, billing statements; Responsible for maintaining original recorded documents; Proofread documents against scanned image, responsible for rescanning documents after inspection, make minor repairs to existing volumes; Responsible for ordering and maintaining supplies for scanning documents and plans; Cross train on various other jobs in the Deeds Office at the request of Register; Perform other duties as assigned. (This position may not include all of the duties listed, nor do the listed examples include all tasks, which may be found in positions of this class). Knowledge, Skills, and Abilities Required: He/she needs a good knowledge of practices and procedures in filing the documents of the Registry of Deeds office; a good knowledge of scanning equipment; the ability to focus in on correct focus and accuracy of the documents being scanned; the ability to interpret and follow written guidelines and technical manuals. Good knowledge of office equipment, policies, practices and procedures applicable to the Registry of Deeds office. Some knowledge of management and supervisory techniques. ABILITY TO DEVELOP AND MAINTAIN HARMONIOUS WORKING RELATIONSHIPS WITH CO-WORKERS, THE PUBLIC AND ATTORNEYS.
