Initial Evaluation Conference. The initial evaluation conference shall be held by the end of the first twelve (12) weeks of the Unit Member’s work year. This timeline may be extended by mutual agreement. At this conference, the Evaluator and Evaluatee shall jointly establish the Evaluatee’s method of evaluation (observation or alternative method), written goals and/or objectives and plans for monitoring the Evaluatee’s performance. All observations shall be scheduled unless the Evaluator and Evaluatee mutually agree to unscheduled observations. The Evaluator and Evaluatee shall review and enumerate any special constraints which the Evaluatee believes may inhibit him or her from meeting the established goals and/or objectives. If the Evaluator and Evaluatee cannot agree on one (1) or more matters, they may request a review by the Superintendent or designee.
Initial Evaluation Conference. Prior to October 30th of each year, each unit member and his/her evaluator shall meet in an initial evaluation conference to review the California State Teaching Standards. The date of the evaluation conference will begin the period of observation. Follow-up conferences may be necessary to the evaluation process. This part of the process offers participants an opportunity to clarify and understand each other's perception of professional expectations, responsibilities, roles, frustrations, and stress. It is a time to establish, collaboratively, goals and objectives, immediate and distant, general and specific, from one or more of the performance domains listed above. A date(s) for an interim conference(s) will also be determined at this meeting. Finally, the basis for the evaluation shall be discussed, e.g., Will it be an observation of a teaching period or some other situation? How often will the contact be? What will be the focus?

If no conference is held, the evaluator will provide the unit member with three dates for when they will be conducting the formal observation. The unit member must pick one of the dates and if they fail to do so, then the evaluator will provide notice of the date of the formal observation. To the extent the evaluator needs to change the date of the formal observation, they will provide written notice of the new date of the formal observation. If the evaluator needs to change date of the formal observation, the evaluator needs to provide the unit member with at least 10 calendar days prior notice of the new formal observation date.
