Fund Panel Sample Clauses

Fund Panel. 6.1 The Fund Panel will consist of between 5 and 10 members of which at least two will be appointed by Guildford Borough Council and one will be appointed by the Community Foundation for Surrey. One Member will normally be the Chairman of the Carers Support Fund Panel or his/her Deputy if necessary. Additional members will consist of local community representatives serving in a voluntary capacity who have a range of experience which meet the Fund Criteria. 6.2 Fund Panel Members will serve on the Panel for three years and can be re- elected for further three year terms by unanimous vote. The Fund Panel will appoint new members of the Panel by unanimous vote to replace retiring members or fill vacancies caused for other reasons. If the majority of Panel Members resolve that a Panel Member will stand down then that Panel Member will immediately cease to be a Panel Member. Fund Panel Members will sign Our ‘Panel Member Declaration’ and work within Our policies and protocols. 6.3 The Chairman of the Fund Panel will be elected by a majority vote and the quorum for meetings will be 3. 6.4 We will present grant applications to the Fund Panel for consideration and will only put forward applications which meet the Fund Criteria. 6.5 The Fund Panel will keep minutes of its meetings and copies of them will be sent to Us as soon as practicable after each meeting. 6.6 Decisions relating to grant applications shall be taken by majority vote. 6.7 The Fund Panel will: a) meet as often as is reasonably necessary to consider grant applications b) determine the priorities of the Fund in accordance with the Fund Criteria c) consider applications put forward by Us d) award grants on such conditions as it considers appropriate, in accordance with the Fund Criteria and any priorities there maybe e) deal with applications by email if there is an urgent need to do so f) require its members to declare at the start of each meeting or email exchange any conflict of interest which may exist in relation to any applications for consideration at the meeting and any member who is deemed to have a conflict of interest will withdraw from consideration of the application concerned g) provide an up-dated list of the Fund Panel members and their ‘roles and responsibilities to Us h) actively promote awareness of the fund and encourage new donations for the Fund
