FAX. This is only secure if the person who requires the information is waiting by the receiving fax machine to receive the document immediately or the fax machine is located in a secure “safe haven”. Do not assume this will always be the case, ensure the recipient is waiting for the fax before it is sent. A fax header sheet (that does not contain any personal information) must be transmitted first with the information itself sent only after a confirming response has been received. A record of the transmission must be retained. Faxes should only ever be used as last resort.
