Affiliate’s Obligations. 2.1. The Affiliate’s name shall include the term “Read Easy” followed by a description of the Affiliate’s geographical area of operation. The name and geographical area of operation shall be subject to the approval of Read Easy UK (see also clause 2.14). 2.2. The Affiliate shall comply with Read Easy UK’s policies and procedures as provided from time to time by Read Easy UK (in the form of handbooks or otherwise) including without limitation those relating to the safety of volunteers, Readers and others involved in the Read Easy literacy scheme. The Affiliate shall also ensure that all individuals involved with or engaged by the Affiliate are provided with such policies or handbooks as advised by Read Easy UK from time to time. However, the Affiliate must also take all other prudent steps while participating in the Read Easy literacy scheme, especially concerning safety (including where appropriate, and without limitation, conducting risk assessments and performing DBS checks). The Affiliate shall comply with all legislation relevant to its activities, including without limitation (i) health and safety legislation; and (ii) legislation safeguarding vulnerable adults and children, and those working with them. 2.3. The Affiliate shall use the forms and other resources and materials provided by Read Easy UK for the purposes intended and shall not amend or alter these in any way; The Affiliate should ensure that the most up-to-date version of the forms and other resources are used at all times. 2.4. The Affiliate shall provide Read Easy UK with regular feedback and suggestions about the Read Easy literacy scheme and any materials or support provided by Read Easy UK, to enable Read Easy UK to improve the support it provides to the Affiliate and other affiliates. 2.5. The Affiliate shall seek guidance and agreement from Read Easy UK in relation to any particular issues that may arise, where no precedent has been established. 2.6. The Affiliate shall protect, maintain and enhance the reputation of Read Easy UK, the Read Easy literacy scheme and the Read Easy Brand. 2.7. The Affiliate shall comply with Read Easy UK’s instructions, recommendations and guidance concerning participation in the Read Easy literacy scheme. 2.8. The Affiliate shall provide its most current written constitution to Read Easy UK upon request. 2.9. The Affiliate acknowledges and agrees that this Agreement, and the Affiliate’s participation in the Read Easy literacy scheme, only permits the Affiliate to help people improve their literacy through the use of the Turning Pages manuals and any additional methods detailed in Read Easy UK’s handbooks or guidelines from time to time. The Affiliate shall not use any other methods other than those recommended or approved by Read Easy UK from time to time. For the avoidance of doubt the provisions of this Clause 2.9 also apply if the Affiliate participates in other literacy initiatives with other organisations, as further described in Clause 3.8. 2.10. The Affiliate acknowledges and agrees that this Agreement, and the Affiliate’s participation in the Read Easy literacy scheme, does not permit the Affiliate’s volunteers to help people in other areas, such as numeracy, or to provide other support such as life coaching skills as part of their Read Easy coaching. The Affiliate shall not undertake any of these activities, or any other activities not permitted by this Agreement. 2.11. The Affiliate shall provide Read Easy UK with such reports, and at such frequencies, as Read Easy UK requests from time to time. These reports might cover, without limitation, financial performance, effectiveness of the literacy scheme, numbers of volunteers and Readers involved in the scheme, legal compliance, the Affiliate’s personnel, and general feedback about the Affiliate’s participation in the scheme. 2.12. The Team Leader and Management Team members of the Affiliate shall maintain contact and communicate with Read Easy UK, as necessary, in order to ensure that the group is able to deliver the literacy scheme in accordance with Read Easy UK guidelines and with such updates in policy and procedure as may be necessary from time to time. This will include at least one face -to-face meeting each year between the Team Leader of the Affiliate and a representative of Read Easy UK. 2.13. The Affiliate shall allow Read Easy UK’s representatives to provide training to the Affiliate, as laid out in its handbooks. The Affiliate shall also allow Read Easy UK’s representatives, upon reasonable notice by Read Easy UK, to observe the Affiliate’s reading sessions or other related activities so that Read Easy UK can monitor standards and provide constructive feedback. 2.14. The Affiliate shall have the right to change its name and/or the geographical area that it covers only after consultation and agreement with Read Easy UK. Following such consultation and agreement, any such change shall also require the agreement of a two-thirds majority at a Special General Meeting of the Affiliate’s voting membership. The minutes of that meeting shall be sent to Read Easy UK, with a request for written confirmation that the change has been noted with reference to this Agreement.
