Guests will notify Hotel directly if special accommodations regarding these times are needed. Guests arriving prior to 3:00 p.m. will be accommodated as rooms become available. Arrangements can be made to check baggage for those arriving early when rooms are not available. METHOD OF RESERVATIONS Reservations for the Event will be made by  . If a rooming list is to be provided, University will forward its rooming list by  . CUTOFF DATE Reservations by attendees must be received on or before  ,   (the "Cutoff Date"). At the Cutoff Date, Hotel will review the reservation pickup for the Event, release the unreserved rooms in the Guest Room Block for general sale and determine whether it will accept reservations based on a space‑ and rate‑available basis at the University group rate after this date. PAYMENT BY CREDIT CARD OR CHECK If University wishes to pay any portion of its obligation by credit card or company check, a form submitted by Hotel must be filled in prior to execution of this Agreement. MASTER ACCOUNT CHARGES Attendees will pay their own room, tax, and incidental charges incurred by them at Hotel (cash‑paying guests may be asked to leave a cash or credit card deposit to guarantee payment) and University will be responsible for catering and meeting room charges incurred pursuant this Agreement. GUEST ROOM COMMITMENT. Hotel acknowledges 350 as aggregate room block and any room utilization associated with WACYPAA will apply toward said aggregate room block, this includes guests arriving prior to or after the conference dates. This update also supersedes sections of this agreement that are tied to room block utilization. Guestroom types cannot be guaranteed and rooms will be reserved on a first-come, first-served basis. Rooms are blocked on a space available basis. The Hotel reserves the right to review and adjust the room block up to «CutoffDate», in order to ensure the accuracy of guestroom requirements. If a reduction is rejected by the Group, a firm guarantee of a number of rooms and security deposit may be required. In addition, an early departure fee of $50.00 will apply. Hotel room rates are quoted per room per night and are subject to applicable lodging, state and local taxes at time of check in. All rates are subject to six (6%) percent Resort Fee; subject to change without notice. Reservation requests for additional nights not included in Oklahoma Academy of Physician Assistants‘s room block will be accepted on a “group space available” basis at River Spirit Casino Resort’s prevailing guest room rate. River Spirit Casino Resort is holding the outlined standard, run-of-the-house, guest rooms and does not guarantee specific room type availability. Reservation requests for additional nights not included in Oklahoma Academy of Physician Assistants’ room block will be accepted on a “group space available” basis at River Spirit Casino Resort’s prevailing guest room rate. Early arrivals and/or late departures outside the pattern and/or increases to the block will be based on prevailing rate and group room availability. The charge for triple and/or quad occupancy is $20.00 per night, over the quoted guest room rate. Children under the age of 15 years may share a room with their parents at no additional charge provided additional bedding is not required. Check in time is after 4:00 p.m. and check out is 11:00 a.m. Late checkouts are subject to a penalty fee of room and room resort fee for an additional evening. If guests arrive before their room is ready or their departure is later than the 11am checkout, River Spirit Casino Resort ▇▇▇▇ Desk will be happy to store luggage for guests’ convenience. A credit card or debit card is mandatory at time of check-in for incidentals.

GUEST ROOM COMMITMENT. Hotel and American Association for the Study of Liver Diseases agree to provide the following guestrooms, and the Group will be responsible for utilizing ninety percent (90%) of the total room nights as follows: DAY TUES WED THUR FRI SAT SUN MON TUE WED DATE 11/08 11/09 11/10 11/11 11/12 11/13 11/14 11/15 11/16 ROOMS The above rooms are a sub-block to the American Association for the Study of Liver Diseases (AASLD) – The Liver Meeting 2016 room block, and will be part of their confirmed block for the Group Room counts will go towards overall AASLD pick up. Any additional inventory requests will automatically be added to your overall commitment. Hotel and AASLD have confirmed the following rates: Room Type Single Rate Double Rate Guestrooms These rates are subject to taxes, currently 14.45% and subject tochange. Breakfast vouchers, etc must be handled directly with the hotel and are not included in the rate above.

GUEST ROOM COMMITMENT. The group agrees to be held responsible for a minimum of 85% of revenue-generating room nights. Should the total number of Group revenue-generating room nights be less than this amount, the Group will be responsible for paying the difference between the minimum revenue-generating room nights and the actual/final Group revenue-generating room nights, multiplied by 75% (lost guest room profit) of the single/standard guest room rate. Revenue-generating room nights are rooms paid for by any method including no- shows and cancellations for which room rate has been collected. At Group’s request, Hotel’s in-house guest list will be compared with Group’s registration list by Hotel. Any revenue-generating room night for a person on Group’s registration list and Hotel’s in-house guest list, but not credited to the group by the hotel, regardless of the rate paid or method of reservation, will be credited to the Group for actual/final Group revenue-generating room nights and credited toward complimentary room nights earned. This will include all rooms booked via the Internet. For any night over the Group room block dates that the hotel achieves 100% occupancy, the Group will not be charged for failure to achieve the guest room commitment. The Hotel and Group intend to liquidate the damages in the event that the Group fails to meet the Guest Room commitment set forth in this section. Therefore, Group and Hotel agree (a) that the above formula is a reasonable estimate of the Hotel’s damage in the event that such a minimum commitment is not met and (b) that the liquidated damages set forth in this section do not constitute a penalty. The hotel agrees to attempt to re-sell any unused rooms up to the required minimum at the same or higher rate.
