Communication Management. Contractor will develop a communication management plan that includes planning, meeting and management activities for preparation, distribution, storing and disposition of project documentation. Communication management also includes the activities taking place within the project to assure that all Project stakeholders are aware of all Project related issues at all times.

The Project Manager will enforce adherence to these guidelines. Exchange of information will mainly occur by e-mail and file transfer over the Internet. The basis of the project communication lays upon the adoption of mailing lists mainly one for technical and business development matters and a closed one for administration and evaluation purposes. Sub lists will also be incorporated in the communication procedure to enhance WP operation and to address specific project related issues.
Communication Management. CONSULTANT will identify communication requirements for stakeholders; performance reporting requirements; and author, assemble, disseminate and store project communications including plans, schedules, budgets, progress reviews, meeting agendas, meeting minutes, issue papers, risk reviews, quality reviews, deliverables, working papers and correspondence. Develop procedures, forms, reporting requirements to facilitate communication and decision-making at appropriate levels of authority. In collaboration with the County, establish and implement procedures for: ▪ Reviewing and processing requests for clarifications and interpretations of the Contract Documents; ▪ Contract schedule adjustments; ▪ Change order proposals; ▪ Written proposals for substitutions; ▪ Payment applications; ▪ Expediting the processing and approval of shop drawings, product data, samples, and other submittals. ▪ Implementing procedures for General Contractor’s RFI, submittal and shop drawing logs. ▪ Issue identification and resolution, and documentation requirements to protect County against claims. A draft procedure manual shall be provided prior to pre-construction conference. Incorporate County review comments and produce final manual prior to Notice-to-Proceed to General Contractor.
Communication Management. The Receiving Party will receive prior approval from AST’s Contract Manager before communicating to non-AST personnel any conclusions or recommendations it may have or that are formed pursuant to its duties under the Contract. This requirement shall not be interpreted to prohibit the Receiving Party from disclosing information relevant to the performance of the Contract to members of the Florida Senate or Florida House of Representatives (see Ch. 2016-62, Sec. 124, Laws of Florida). However, discussions the Receiving Party may have with subcontractors, partners or other entities or individuals that have executed a nondisclosure agreement with AST related to the services identified in the Contract are exempt from this requirement.
