Time limits for cancellation • If this contract was handed to you directly you must give notice that you intend to cancel within 5 working days after you receive this contract. • If this contract was sent to you by electronic means (for example, email) you must give notice that you intend to cancel within 7 working days after the electronic communication is sent. • If this contract was mailed to you, you must give the notice within 9 working days after it was posted. • Saturdays, Sundays and national public holidays are not counted as working days. What you may have to pay if you cancel If you cancel this contract we can charge you – • the amount of reasonable expenses we had to pay in connection with this contract and its cancellation (including legal fees and fees for credit reports, etc) • interest for the period from the day you received the property or services until the day you either pay the cash price for the property or services or return the property to us • the cost of repairing any property you return if the property was damaged while in your possession.

Your Right to Cancel. You If you are travelling as an individual or as a group of five (5) or less, you have the right to cancel your booking up to 48 hours before the first day of your stay. If you cancel within this period you will be entitled to cancel this contract by giving notice to us. What you may have to pay if you cancel If you cancel your booking less than 48 hours before the first day of your stay, you will not be entitled to a refund and will be charged the full amount due for your planned stay. Groups of six (6) or more If you are travelling in a group of six (6) or more, you may cancel your booking up to seven (7) days before the first day of your stay. If you cancel within this period you will be entitled to a refund of any payment that you have already paid. If you cancel your booking less than seven days before the first day of your stay, you will not be entitled to a refund and will be charged the full amount of your groups’ planned stay. If you wish to cancel your booking please contact the Hotel on the contact details given at the end of this document. Rooms booked on Xxxxxxx.xxx Reservations made on Xxxxxxx.xxx will be subject to the cancellation provisions which applied to the booking at the time that you made the booking, as confirmed in your booking confirmation email. For the avoidance of doubt, reservations made on Xxxxxxx.xxx at a Non- Refundable Rate will not be refundable should you cancel the booking at any time. Our right to cancel We may cancel your booking at any time with immediate effect by giving you written notice (which includes email) if: • you do not pay us when you are required to do so; or • you break the contract between us in any other material way. If we can cancel your booking where you are at fault, we reserve our legal rights in respect of your breach of contract. Events outside our control We may also cancel your booking if an event outside of our control (including but not limited to industrial action, explosion, fire, flooding, and failure of power and/or water supplies or emergency evacuation) means that we are unable to make your room available to you. In this case we will contact you to let you know as soon as possible and: • if you have already paid for your room, we will refund your payment to you; or • if you have not yet paid for your room, you will not have to make any payment to us. Save as set out above, we will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations that is caused by an event outside of our control but we will make reasonable efforts to mitigate any effects. This does not affect your statutory rights. Arrival and departure Rooms are available from 2pm on the arrival date. Rooms must be vacated by 10am on the day of departure. Failure to leave your room by this time may result in a late check-out charge of £58. If you fail to check out on the date confirmed in your booking confirmation we reserve the right to charge you the full room price for each additional nights’ stay. Expectations of you (and your group) During your stay with us we expect that you will: be respectful to hotel staff and other guests • treat your room with respect and alert hotel staff to any damage caused by you • not smoke in your room or anywhere on the premises • keep noise to a minimum at all times • not engage in any threatening or violent behaviour whatsoever If you or your group fail to comply with our Expectations, cause damage to The Hotel, or cause distress or inconvenience to other guests or damage to their property, or you otherwise breach any of these terms and conditions, The University reserves the right to: • cancel your booking with immediate effect and (if appropriate) require you to leave the premises; • retain all sums paid by you and/or charge you the full amount of reasonable expenses we had your booking; • refuse future bookings from you and/or refuse you entry or accommodation at The Hotel; • charge your credit or debit card or invoice you for any damage incurred to pay in connection with this contract and its cancellation your room or the Hotel during your stay (including legal fees without limitation specialist cleaning) or for any items that are missing when you leave. The University will not be liable for any refund or compensation in such circumstances. General Your information We respect your privacy and fees for credit reportswe are committed to protecting your personal data.
