Weekly Progress Meetings a. The Design-Builder must schedule and conduct weekly progress meetings during construction period. Conduct additional progress meetings as directed by the Commission Representative as required by the progress of the Work.
(1) Hold meetings at the Design-Builder’s field office.
(2) As often as practical, hold meetings on the same day of the week at the same time of day. When it is necessary to change the day or time of the meeting, notify the Commission Representative of the change a minimum of three (3) business days prior to the normal meeting day or the revised day, whichever is earlier.
b. The following are required to attend:
(1) Project superintendent, project manager and key support staff.
(2) Major Subcontractors.
Weekly Progress Meetings. CONTRACTOR’s project representative shall meet weekly with AGENCY, or AGENCY’s designated representative, to report on progress of the work, schedule for upcoming work and coordinate activities between the parties as needed.
Weekly Progress Meetings. Owner shall hold weekly meetings to update key project concerns and issues. Coordinate dates of meetings with preparation of payment requests. Meeting frequency will be determined by the needs of the job and will be at the discretion of the Owner.
A. Attendees: Contractor and Owner. Architect, subcontractors and suppliers are optional attendees but may attend if needed. All participants at the conference shall be familiar with Project and authorized to conclude matters relating to the Work.
B. Agenda: Review and correct or approve minutes of previous progress meeting. Review other items of significance that could affect progress. Include topics for discussion as appropriate to status of Project.
1. Overall Project Schedule: Review progress since last meeting. Determine whether each activity is on time, ahead of schedule, or behind schedule, in relation to Overall Project Schedule. Determine how construction behind schedule will be expedited; secure commitments from parties involved to do so. Discuss whether schedule revisions are required to ensure that current and subsequent activities will be completed within the review schedule for next period.
2. Review submittal schedule.
i. Review present and future needs of each entity present, including the following:
a) Sequence of operations.
b) Status of submittals.
c) Status of correction of deficient items.
d) Field observations.
e) RFIs.
f) Status of proposal requests.
g) Pending changes.

Weekly Progress Meetings. Unless a different time is agreed upon by Owner and Contractor, weekly progress meetings shall be held each [Thursday at 10:00AM (central)] at the Work Site or at an alternate site mutually agreeable to Owner and Contractor). The weekly progress meetings shall provide updates on the Project. During these meetings, the following topics, at a minimum, shall be discussed:

Once construction work commences (including administrative and fieldwork), PORT and CITY will attend weekly progress meetings with ALAMEDA CTC at the Project Field Office (or virtually, when possible) to discuss issue-specific topics at the meetings as deemed appropriate by the PARTIES. The weekly meeting agenda and the Contractor's three-week look-ahead construction schedule will be distributed before each meeting, and agenda items will be discussed at these meetings.
Weekly Progress Meetings. The Engineer will conduct Progress Meetings at regularly scheduled times convenient for all parties involved. Progress Meetings are in addition to specific meetings held for other purposes, such as coordination meetings. Discussions will address administrative and technical issues of concern, determining resolutions, and development of deadlines for resolution within allowable time frames.

(iii) Manpower levels;
(iv) Critical items of the Work, including an evaluation of problem areas with respect to the construction of the Work;
(v) Progress of the Work as compared against the baseline CPM Schedule (or if applicable, the Recovery Schedule or Acceleration Schedule) and the Guaranteed Mechanical Completion Date and the Guaranteed Final Completion Date, and to the extent applicable, strategies for recovering the Work to meet the Work Schedule if any portion of Work is behind schedule;
(vi) Review and address all COs log and trends and address any potential CO that are being evaluated by Contractor as described in the below Section B.
(vii) Three (3) weeks look-ahead and confirmation of suitable material availability for this work
(viii) Needs list and other areas of concern; and
(ix) Any other matters affecting performance of the Work and remedial actions that have been taken or will be taken.] Minutes of all meetings shall be distributed by Owner in accordance with Section 3.12A.1 of the Agreement and Attachment B.
