Scheduling Vacation Leave. Vacation leave should be applied for in advance by the employee and may be used only when approved by the Agency Head and/or his/her Designee. Vacation leave may not be unreasonably denied or deferred so that the employee is deprived of vacation rights. Scheduling Vacation Leave. Annual vacation leave shall be taken at such time as the Sheriff directs and is subject to his administrative discretion. All vacation leaves must be requested and authorized on a form designated by the Sheriff. Each member shall be granted one vacation leave request on the basis of seniority. Such request is to be submitted by January 31 of the year of request. Additional vacation leave requests by a member already granted vacation leave by seniority shall be on an availability basis.
Scheduling Vacation Leave. Generally, each worker should be given a choice of time for vacation but the District reserves the right to schedule vacation leave at its convenience provided that every attempt is made to schedule vacation leave so that workers who choose to do so have at least five consecutive work days off and that such scheduling is not done in an arbitrary and capricious manner. Notwithstanding the District's right to schedule vacation leave, no worker who has received notice of layoff because of lack of work or lack of funds shall be placed on vacation leave without her/his consent during the 30 days immediately preceding the effective date of layoff. In case two workers in the same group wish to take vacations at the same time, first choice of vacation time will go to the person with the longest service in the District. After a schedule has been set, if a worker wishes to change vacation time, he/she may do so only if the change does not require any other worker to change a scheduled vacation. If a worker becomes seriously ill or is injured during a scheduled vacation period, the worker may submit a signed statement from a physician that the worker was unable to continue the vacation and have the time deducted from earned sick leave. The balance of the vacation may then be rescheduled.

However, employees must receive prior approval for use of vacation time. Employees may exercise this seniority option only once during any calendar year.

Scheduling Vacation Leave. Whenever possible, employees will have a choice of time for vacation. If an employee's absence will seriously hamper the work of the department, the District may request that the employee take vacation at a time other than the time requested. Except for emergencies or other special circumstances, all vacation must be requested and approved in advance. Employees must submit a Request for Vacation. Whenever possible the form will be submitted ten (10) working days prior to the requested vacation. The request will be approved/denied within three (3) working days. If vacation is denied the reason for the denial shall be stated on the Request for Vacation form. The suggested ten (10) day notice shall not be the sole reason for a request denial. If multiple requests are received on the same workday, seniority will be the determining factor in approving requests for the same vacation time. If vacation is approved it shall not be changed or rescheduled by the District except in an emergency. When vacation is canceled for emergency reasons the employee will have the option to reschedule or be paid for the vacation time. Such rescheduling must occur within three (3) months of the canceled vacation and the unused vacation will have no effect on the vacation accrual limit during that time period. If the vacation cannot be rescheduled within three (3) months, the employee will be paid for the vacation. If an employee’s vacation is canceled by the District, the District will reimburse the employee for any and all non-refundable expenses incurred by the employee such as non-refundable plane fares or reservations. After a vacation leave is approved an employee may request a change only if the change does not impact the work or affect the already scheduled vacation time of other employees. If an employee becomes seriously ill or is injured during a scheduled vacation period, the employee may submit a signed statement from a physician that the employee was incapacitated and would be unable to work. In such circumstances, an employee may request that the time be deducted from earned sick leave. The physician statement shall include a complete description of the illness or injury and length of disability, receipts of payments made for medical care and any other supporting documentation deemed appropriate by the District. If the request is approved, the balance of the vacation shall be rescheduled.

Each member shall be granted one (1) primary time off request that may include any combination of accrued vacation, personal or compensatory leave, on the basis of seniority. This time off request is to be submitted by January 31 of the year of the request. If time off is available after primary time off requests have been approved, each member shall be granted one secondary time off request which may include any combination of accrued vacation, personal or compensatory leave, on the basis of seniority. Such request is to be submitted between February 1 and February 28 of the year of the request. All secondary time off requests will be limited to eighty (80) hours of time off including holidays that may occur during the secondary time off request. Leave requests submitted under this section for which the employee will not have sufficient accrued balance at the time it would be used shall be denied.
Scheduling Vacation Leave. The scheduling of vacation leave shall be determined by the department head based on the wishes of the employee and with particular regard for the needs of the City. Employees are encouraged to take vacation leave in increments of one (1) week at a time.
Scheduling Vacation Leave. The department head shall determine the number of employees who can be assigned for vacation purposes at any one time, agreeing that an effort shall be made to schedule vacation leave in accordance with manpower and work load requirements as determined by the department head. Vacation leave shall be granted giving preference to the classification within a given assigned unit. In the event two (2) or more employees in the same classification in the same assigned unit desire the same vacation date, and it is determined by the department head that one or both employees cannot be assigned for vacation purposes, the employee having the least amount of classification seniority within the assigned unit shall select alternative dates for his vacation.
