Review of Personnel Records. Every unit member shall have the right to inspect the materials upon request, with the exception of materials mentioned in the above paragraph. Such review shall take place during normal school hours and the unit member shall be released from duty for this purpose without salary deduction.

Review of Personnel Records. Upon the request of any employee or a bargaining representative having written authorization from the employee, that employee’s personnel file(s) will be made available for review by the employee and/or bargaining representative. Records shall be reviewed in private in the administrative offices of the District. Personnel records will be interpreted to mean the usual personnel records maintained for each employee including, but not limited to, the following: application form, references or copies of credentials, personnel leave records, leave request forms, retirement system forms, notices to individual employees concerning change in status, salary or other notices written to individual employees, and other such similar information. References or other records collected concerning employees will either be made available or destroyed upon receipt. Employees will receive copies of personnel action forms specifying conditions of hiring, change in status, pay or leave of absence. Employees shall have the right to review and comment on letters of warning and performance evaluations currently in their personnel files.

Conditions of hiring, changes in status, changes in pay or approval/denial of leaves of absence will be documented in writing and transmitted to the employee in writing. Within thirty (30) days of the ratification of this Agreement and then semiannually thereafter, the District shall provide the Association with an Excel spreadsheet attachment to an email listing of all employees covered by this Agreement. The roster shall include name, address, last four digits of Social Security number, employee identification number, telephone number, dates of employment, department, current step and current wage rate. On a monthly basis, the District shall supply to the Association the above information for all nurses who are newly hired, transferred into or out of the bargaining unit, or whose employment was terminated. The Association agrees to use the listed roster information only for Association business and to hold the District harmless from damages resulting from all use of the information.
Review of Personnel Records. At least once every three (3) years, an administrator shall have the right to indicate those documents and/or materials in his/her file, which he/she believes to be obsolete or otherwise inappropriate to retain. Said documents shall be reviewed by the Superintendent or his/her designee and if in fact the Superintendent determines that the documents and/or materials are obsolete or otherwise inappropriate to retain, they shall be destroyed.

UNION STEWARDS The Union will notify the County, in writing, as to the names of its Union Stewards. The Union may add or subtract from the designated list of Stewards with five (5) working days notice to the County Administrator. Union Stewards may be granted unpaid leave time to engage in the following representative activities: When accompanying an employee is required to appear at a hearing related to a grievance and or arbitration. When accompanying an employee who is meeting with a management representative and responding to disciplinary action or investigation. When accompanying an employee who is attending a pre-determination hearing. A Union xxxxxxx may not engage in preparation on County paid time for attendance at the above referenced meetings. A time pool of time created by voluntary transfer of bargaining unit employeesannual leave (vacation) which can be drawn down to pay Union Stewards who have taken time off to engage in the above listed representative activities. Each bargaining unit employee shall have one (1) hour of annual leave time automatically deducted once annually from the employee’s bank of accrued time and transferred to the time pool.

The Company’s Site Lead shall maintain each employee’s local personnel file (if such a file is required). The Company shall allow employees to examine their personnel files upon request (within two business days of receiving an employee’s request). The Company shall fix any errors that an employee detects within their own file or, in cases where the Company disputes such an error, place a written record (digital or physical record) of the employee’s concerns in their file for future reference.
