Physical Storage. The Contractor will provide a records storage warehouse(s) that has a minimum storage capacity of at least 50,000 cubic feet in each Region of service. All records are to be stored in a manner such that all reasonable steps are taken for the protection and preservation of records. A portion of the storage warehouse must be environmentally controlled for temperature and humidity for the storage of sensitive records. The storage warehouse shall provide adequate shelving appropriate for various records, files, and cartons. The storage warehouse shall provide at a minimum, security in the form of physical deterrent and services protection and 24 hour burglar monitoring. The Contractor’s storage warehouse shall provide fire and flood protection, which shall include 24 hour monitoring of fire and smoke alarm systems. If the Contractor needs to increase the storage warehouse capacity during the contract term, the Contract will not include cost reimbursement for the additional capacity, utilization or transport to the larger storage warehouse and the Contractor will be responsible for any such costs.

All Customer source materials are inventoried/catalogued prior to placement and storage within Neubus’ code‐compliant (NFPA 2017) concrete facility structures complete with security certification, monitoring 24/7/365, strict environmental controls, and RFID asset tracking and management. Neubus maintains secure areas for both work and storage that offer optimal environmental conditions for Customer source and archival materials. This includes providing physical storage according to stringent standards for temperature, humidity, light, air quality, gas fire suppression, UV light exposure limits, etc., as specified by project requirements. Neubus facilities are inspected by the City of Austin Fire Xxxxxxxx and any discrepancies are noted and immediately corrected. Neubus’ fire detection system consists of heat sensors throughout the facility as well as sensors in Neubus’ HVAC units. Neubus’ physical security measures include the following building access controls:

  • Physical Exams The Employer agrees to provide without cost to employees, physical examinations and/or other appropriate tests when such tests are deemed necessary by management to determine whether the health of employees is being or has been adversely affected by exposure to potentially harmful physical agents, toxic materials, or infectious agents, or by attacks and assaults. The Employer agrees to provide to each affected employee who requests it a complete and accurate written report of any such medical examination or other appropriate tests related to occupational exposure. Those records will be maintained under conditions that restrict access to persons who need them for official duties related to the matching process.   • Physical Facilities The parties acknowledge the importance of RMOs having quality facilities to enable RMOs an opportunity to rest, discuss clinical matters with other RMOs, and to study. The DHBs acknowledge the importance of private RMO rooms and accept they need to be appropriate for the circumstances. Ideally RMO facilities should be of an appropriate size, secure and have the following: • Kitchen facilities and lounge area, with natural light where possible. • Sufficient number of telephone lines to enable appropriate clinical response by RMOs to pagers and clinical duties. • A study area including sufficient desk space and adequate lighting to enable reading. • Good IT facilities including: inter and intranet access. • Access to relevant clinical material such as lab and x-ray results, up to date etc. • Access and ability to print. • Lockers if secure facilities are not provided elsewhere closer to work spaces. • Sufficient beds for those on nights. • Changing, toilet and shower facilities. • The room(s) and associated facilities should be located close to the hospital’s acute area(s) and serviced regularly with linen supplied. • Where space is available, safe and secure parking close to the main entrance of the hospital for RMOs undertaking work during the hours of darkness. Where space is not available the DHB must make appropriate alternative arrangements such as the provision of taxis. This clause does not require DHBs to retrofit existing facilities to meet such requirements; however DHBs must consider the above requirements when undertaking refurbishment work and when building new hospitals/facilities. Best endeavours should be applied to provide the above within existing facilities in the absence of rebuilding.
