Actual Expenses. When a situation occurs which requires employees to incur actual expenses beyond per diem and lodging allowances, employees will notify their supervisor by entering the information into the current travel system and/or receive written approval to travel. This written approval is the agreement of the Department to pay actual expenses. When the actual expense method is approved, the Department will require receipts for other allowable per diem expenses. Actual expenses reimbursement is warranted when: (a) lodging is procured at a prearranged place such as a hotel where a meeting, conference or training session is held, or lodging cannot be obtained at the per diem lodging rate; (b) costs have escalated because of a special event or disaster; (c) any other reason approved by the Department, in accordance with the Federal Travel Regulations.
Actual Expenses. Reimbursing the employee for the total actual costs for room, board and incidental expenses related to the conduct of District business. Expenses of $25 or less need not be accompanied by supporting documentation. An employee will not be reimbursed for alcohol.

Necessary storage of up to thirty (30) days will be authorized at origin and/or destination. ii. If such employee uses his personal automobile(s) for his or his family’s transportation to the new vacancy, the Company will pay an allowance of twenty cents (20¢) per mile for the shortest American Automobile Association highway mileage between the employee’s former residence and his residence. In cases where personal automobiles must be transferred by ocean (or air) shipping for all or part of the move, the Company shall pay all reasonable and actual costs of such transfer for up to two (2) automobiles.
