However, the Service Manager or their designate may decline for up to a reasonable amount of time such permission if the workload is such that the absence of the committeeperson is detrimental to the Company\u2019s customer obligations.\n7.08 Further, an employee\u2019s request to meet with his Committee person to deal with a matter arising out of this agreement shall not be unreasonably withheld by the Service Manager or their designate but may be delayed for a reasonable amount of time if the workload is such that the absence of the employee is detrimental to the Company\u2019s customer obligations.\n7.09 In the event that management meets with an employee for the purpose of disciplinary action, a Committee person shall be included in the meeting.\n7.10 The Company agrees to compensate the Committee person for the time reasonably held during regular working hours to deal with such complaints or grievances. Such compensation shall be at the regular rate of pay. This paragraph does not include compensation for attendance at arbitration hearings. The Company shall allow and compensate during regular working hours for the Chairperson or designate, in addition to the above time a reasonable amount of time to attend to other union business.\n7.11 The Union agrees to supply the Company with an up to date list of the members of the Shop Committee and the Company shall not be obliged to deal with any person not on the said list. Alternate committee members may be appointed to act during the absence of a committee member.\n7.12 The Shop Committee and the company representatives shall meet on a regular basis, provided there is business for their joint consideration, such meetings to be held at mutually agreed upon times. Requests for a meeting will be indicated by a letter from one party to the other containing an agenda of subjects to be discussed. Members of the Shop Committee will be paid their clock rates for such attendances.\n7.13 The Company will provide one locking filing cabinet for the Shop Committee and one locking filing cabinet for the Health and Safety Committee, both to be located in a suitable area accessible to the committees. The committees will have access to an office with a phone with privacy when required.\n7.14 The Company agrees to grant the chairperson one (1) day off with pay (maximum eight (8) hours with regular rate of pay), to attend the annual chairpersons meeting at Local 195. The request for time off will be sent to the Company from Local 195 and signed by an officer of the Local with two (2) weeks\u2019 notice.\n7.15 The Company will pay for up to twenty-four (24) hours
