PERSONNEL FOLDER. A. Unit members shall have the right, upon request, to review the contents of their personnel file in the presence of a representative of the Administrator with the exception of confidential material gathered prior to initial employment. The unit member may elect to have an additional witness of his or her own choosing. Any material resulting from any event or occurrence involving a unit member that is to be available to the Board of Education is to be reduced to writing and placed in such file. The unit member shall receive a copy of the material at the time it is placed in his/her file. No material shall be placed in a unit member’s personnel folder until and unless the unit member has affixed his/her signature to the material. Such signature indicates only that the unit member has seen the material. B. Unit members shall have the right to insert written explanation or response to material in their personnel file. Such explanation shall be delivered to the Administrator within ten (10) school days after the unit member has received a copy of the material referred to in paragraph A above. C. For each unit member there shall be only one official personnel folder maintained by the District. Such folder is subject to the conditions of paragraphs A and B above. This folder will be the exclusive repository for all official unit member evaluations and material relating to the unit member’s employment record. D. Materials that are inaccurate, misleading, or inappropriate shall be removed from the personnel folder. Disagreements over whether material is inaccurate, misleading, or inappropriate are subject to the grievance procedure and shall be raised in a timely fashion. E. Material must be placed in the personnel folder within thirty (30) days of the event or occurrence giving rise to the material or with thirty (30) days after the District knew or should have known of such event or occurrence.
