Permanent Files Clause Samples

The Permanent Files clause establishes which documents and records generated during the course of a project or contractual relationship must be retained indefinitely by one or both parties. Typically, this clause specifies the types of files—such as contracts, correspondence, reports, or design documents—that are to be preserved, and may outline the format and storage requirements for these records. Its core practical function is to ensure that essential documentation is available for future reference, audits, or legal compliance, thereby reducing the risk of information loss and supporting accountability.
