Construction Meeting. At date and time selected by the City and at facilities provided by the City, conduct preconstruction conference. Olsson shall prepare an agenda for the conference and prepare and distribute minutes. The preconstruction conference will include a discussion of the Contractor’s tentative schedule, procedures for transmittal and review of the Contractor’s submittal, processing payment applications, critical work sequencing, change orders, record documents, and the Contractor’s responsibilities for safety and first aid.

Construction Meeting. The CONSULTANT shall attend one (1) pre-construction meeting and prepare a meeting agenda and meeting summary. The CONSULTANT shall lead the technical discussion during the meeting, while the CITY will lead the administrative discussion related to the Project.
Construction Meeting. Submittals shall be reviewed and approved by the Engineer prior to scheduling the pre- construction meeting. Allow no less than 2 weeks for a review process. When requesting a pre-construction meeting, contact the Engineer at least 7 working days in advance of the desired pre-construction date. The contractor’s project supervisor, Competent person, quality control personnel and certified traffic control supervisor shall be in attendance at the pre-construction meeting in order for the Contractor and NCDOT team to establish responsibilities for various personnel during project duration and to establish realistic timeframes for problem escalation. Containment System Prior to performing any construction or painting operations on the structure, the Contractor shall furnish the Engineer with plans and design calculations for a sufficiently designed containment system, which will provide access for any repairs on structural steel members, cleaning and surface preparations for structural steel members, and coating operations for structural steel members of the bridge. The containment system shall not be installed, and no work shall begin, until the Engineer has reviewed and approved, in writing, the submitted containment system plans and design calculations. Containment system plans and design calculations shall be prepared, sealed, and signed by a Professional Engineer licensed by the State of North Carolina. Allow a minimum of two weeks for review of the containment plans and calculations. The containment system shall meet or exceed the requirements of Class 2A containment in accordance with SSPC Guide 6. The Contractor shall determine the required capacity of the containment system which, at a minimum, shall include loads due to wind, repair materials and repair operations, equipment, and tools; however, the capacity shall not be less than that required by Federal or State regulations. Design steel members to meet the requirements of the American Institute of Steel Construction Manual. Design timber members in accordance with the “National Design Specification for Stress-Grade Lumber and Its Fastenings” of the National Forest Products Association. The containment system shall be constructed of materials capable of withstanding damage from any of the work required on this project and shall be fireproof. Construction Meeting. The FOC will schedule the Construction meeting. The meeting will be attended by both POCs, representatives from Contractors and CSXT Engineering (and/or CSXT Consultant) and field supervisors, as necessary. The meeting will review the pre-bid and scheduling requirements, as well as the results of the construction meeting described above.
Construction Meeting. KTUA and design team representatives shall attend the preconstruction meeting to support City staff in their conversation with the awarded bidder. At this meeting, KTUA shall also highlight key aspects of the construction drawing package, address any important environmental or other requirements, and relay potential construction timing and phasing issues relating to the design to the contractor. Construction RFIs KTUA and the design team shall respond to any RFIs that arise during construction and issue formal responses to City staff. These would include all paving and hardscape, park amenities and furnishings, lighting, utility, irrigation, and landscape submittals Review Contract Change Orders KTUA and the design team shall consult with the City on any change orders submitted by the contractor to review whether the change order is warranted and whether the prices seem reasonable. Prepare Meeting Agendas and Minutes KTUA shall prepare meeting agendas and minutes for all meetings arising during the construction period. These will be provided to the City as part of the overall project final deliverables. Construction Coordination Meetings KTUA anticipates participating in bi-weekly construction coordination meetings including the contractor and City representatives to coordinate construction progress, issue coordination and resolution, and RFI and submittal tracking.
Construction Meeting. Immediately following the award of the construction contract, our Construction Manager will schedule and administer the pre-construction meeting. During this meeting we will establish lines of communication and decision making roles with all project stakeholders. We will also discuss safety requirements, responsibilities of the project team members, working hours, quality control procedures, environmental requirements, project access and property boundaries/easements, submittal requirements, project schedule, change order and potential claim procedures, and safety procedures. Task No. 2b – Pre-Construction Site Visit and Documentation Coastland’s inspector will take pre-construction digital high-definition photos and video of the construction site with special attention given to sensitive areas including all property affected by and adjacent to the project area. Documenting the site prior to construction will help mitigate possible disputes between the City, Contractor and property owners within or adjacent to the project limits. These photos will be logged and filed with the project files. Task No. 3 – Project Start-Up Coastland will assemble project files in accordance with the City’s standard format for administration. This task will include gathering, distributing and filing contact information sheets, containing names and contact information for local agency/consultants/contractor including a contact list of key personnel to be contacted in the event of an emergency on the project. Copies of contact sheets will be provided to fire, police and other emergency groups at the onset of the project.
