Room Block. Hotel agrees that it will provide, and University agrees that it will be utilizing (# of rooms) room nights in the pattern set forth below:

Room Block. The State will provide the Contractor final confirmation of rooms at least fourteen (14) calendar days prior to the conference date. The Contractor must provide written notification to the State seven (7) calendar days prior to releasing the room block. After providing written notice and the expiration of the final room confirmation deadline, the Contractor may release the rooms and will no longer be responsible to hold the block of rooms.
Room Block. The Hotel will hold a total of room nights for the University’s event. Hotel may continue to accept reservations received after the Cut-Off Date on a space and rate availability basis.

Room Block. The State will provide the Contractor final confirmation of rooms at least seven (7) calendar days prior to the conference date. The Contractor must provide written notification to the State prior to releasing the room block. After providing written notice and the expiration of the final room confirmation deadline, the Contractor may release the rooms and will no longer be responsible to hold the block of rooms. Check-In. The State will accept the Contractor’s standard check-in time. If rooms are not available at the check-in time, the Contractor must provide a secure room to store luggage until the rooms are ready. Check-Out. The Contractor must provide a secure room for attendees to store luggage in between check-out and the end of the conference activities. After awarding the contract, the Contractor and the State may agree to a late checkout.
Room Block. Contractor must be able to block and hold up to 35 rooms with no less than a 24-hour notice by the State with the possibility of an additional 39 rooms. Contractor must provide the DNR confirmation of the room block and confirmation number(s). The State will not accept any alternate lodging arrangements after the rooms are confirmed via email. DNR will work with Contract Vendor if additional rooms may be necessary (the 39 rooms mentioned above).

The Hotel shall, on a regular basis, advise the Society of the number of rooms reserved in the block and the number available. In no case shall this minimum room commitment as stipulated in this Agreement be reduced except by subsequent mutual consent via written agreement between the Society and the Hotel. After the XXX (Year) Meeting, the Hotel and the Society will reevaluate the room and space commitment. Based on such evaluation and upon mutual agreement, the guest room percentages and assigned meeting space can be modified without penalty to more accurately reflect the Meeting’s current history. Any modifications will not affect either party’s obligations under this Agreement unless a written amendment to this Agreement is agreed upon by both parties. All rooms used by persons attending or working at the meeting will be counted in the room block. These include, but are not limited to: all cancellations billed (“no shows”); all persons who, for whatever reason, do not receive the group room rate (e.g., late reservations, corporate rates, government rates, non-hotel internet sites, etc.); all persons “walked.” Every effort will be made by the Society and by the Hotel to ensure that all Meeting attendees staying in the Hotel are counted in the block.
